Chapter 4: Student & Guardian Access

This learning guide will help familiarize you with the features of Chalk's Assessment solution for users with Administrator privileges. If you want to learn how to take advantage of this solution as a teacher, please see our Assessment for Teachers guide.

The following chapter of our learning guide will go over how to:

  • Send invitations to students and guardians
  • Start a conversation with students or guardians
  • Manage conversation settings for students and guardians

After the CSV's have been set up and the Classlists, Teachers and Students are within Chalk, invitations can be sent to Students and Guardians so that they have access to their accounts.

Note: This is only relevant if you have included the student or guardian's email within the Student CSV

From their Chalk accounts, students and guardians will be able to see grades, observations, and have conversations with teachers.

Note: Conversations is only available if your Institution has this feature enabled.

How do I send out Student and Guardian Invitations?

This is part of our Assessment Solution. You will not have this option if you are a free user.

Through Student and Guardians Chalk accounts, they will be able to login, view grades, track student progress, and communicate with teachers. This is typically done after admin, and teacher training has been completed, allowing teachers time to become familiar with Markboard, and Chalk.

Note: If your school chooses to have Guardians access to the student accounts, there must be a Guardian email address attached to the student(s) lines on the student CSVs (this is an optional step of the CSV process, but is mandatory if guardian accounts are requested). Guardians may have their email attached to multiple students, but will need the Student Access Code for each separate student. 

Step 1: 

Select Classlist in your Admin Menu.

Note: If you are the admin of more than one school in the Institution, you will need to select Schools in the side menu, then the name of the School you're looking to send the invitations for, and then Classlist.

Step 2: 

Select Student Roster.

Step 3: 

Chalk uses 2-factor authentication, therefore students will need to log into their Chalk accounts via the email sent to the email that was inputted on the Student CSV. They will then enter their unique Student Access Code. You can generate them in bulk from Classlists and selecting Generate Access Codes

Step 4:

Adjust the settings to your liking for the  Student Access Code PDFs. Then select the Create PDF button at the bottom on the left-hand side.

When created, the PDF file will be sent to your email. These codes should be printed out and given to the students directly. 

Step 5: 

As mentioned above, email invitations will need to be sent to the Students and Guardians. From Classlists on the you will see Student/Parent Invite on the top right. Select the Sent Invitation Emails button.

Step 6:

A warning will appear, that asks you to confirm that you intend to send out emails to both students and guardians, and will ask you to type in the total number of emails you will be sending out. For the example below, there are 4 students and 0 guardians, therefore you would type 4. Once you click Yes, Send Emails, welcome to Chalk emails will be sent.

What if a student has lost their Access Code?

This is part of our Assessment Solution. You will not have this option if you are a free user.

If a student loses their Student Access Code, they will need to get another copy from you directly. This article will guide you on how to reprint an individual Student's Access Code. 

Note: This is not something that Chalk employees can generate through chat or reaching out to support as it is a security risk for Student information. If a student reaches out to support, they will be informed to ask their School Admin for further help.

There are two options for how to reprint a Student Access Code.  

Option 1

Step 1: 

Select the Users tab in the Admin Menu.

Step 2:

Select the Students tab on the right-hand side. 

Step 3: 

Next to the student's name, under the Action column, select the Print Access Code key. This will allow you to reprint the Access Code PDF for the individual student.

Option 2

Step 1: 

Select Classlists from the side Admin Menu. 

Step 2:

In the Student Roster, hover over the Student who requires their Access Code. Select the Edit button that appears under the Action column.

Step 3:

In the pop-up that appears, select the Generate Access Code button for a PDF of the Student Access Code. 

Note: As shown by the arrow in the screenshot above, you may also resend the Student Invite email from this location.

How do I resend a Student/Guardian Email Invitation to an individual student?

This is part of our Assessment Solution. You will not have this option if you are a free user.

This article is a guide to help you re-send an invitation for Student Access to an individual student or guardian.

Step 1: 

Select Classlists from the side Admin Menu.

Step 2:

In the Student Roster, hover over the Student who requires their Access Code. Select the Edit button that appears under the Action column.

Step 3:

In the pop-up that appears, select the Re-Send Invite Email button. The student should receive their email in the next few minutes. If it does not appear in their inbox, urge the student refresh the page and to check their spam or junkmail. If the student's guardian also has Chalk Access, there will be a Re-Send Invite Email button under the Guardian Access section as well. 

Note: As shown by the arrow in the screenshot above, you may also generate another Access Code PDF for the student if they have misplaced theirs.

With Chalk Conversations, teachers can create class-level announcements, as well as have direct conversations with students and/or guardians. Teachers have full control over whether these conversations can be one-on-one in nature or involve both students and guardians. There is even the ability to attach files, which can help efficiency and understanding between teachers and the students or guardians.

How do I set a school’s Conversation settings?

As an admin, you can establish how a conversation between teachers and their students or guardians are handled in Chalk.

Step 1: 

Select the Settings option in the Admin Menu. 

Step 2: 

Select the Conversation option under the Settings tab, as shown in the screenshot above. 

Step 3:

When it comes to Conversation settings, you have two options that you can toggle on or off for the entire school:

  • Students can create posts and comment
  • Guardians can create posts and comment

Note: If you have enabled commenting and posting for students or guardians, teachers have the option to disable posting and commenting for their class or for an individual student/guardian. If you have disabled students or guardians in a school from posting and commenting, teachers will not be able to enable that option for their students or guardians.

How do I know if a teacher has changed their Conversation settings?

Under the Admin Classlists view, pick a class and click Edit next to the class name.

From the window that appears, you will be able to see the conversation settings for that class.

What is a flagged account in Conversations?

This is part of our Assessment Solution. You will not have this option if you are a free user.

On their accounts, teachers have the ability to flag individual student or guardian accounts. This will immediately block the account’s ability to create a post or comment with that teacher, which can be a necessary action in certain situations. This article will guide you on how to know which accounts have been flagged and how to remove the flag on an account.

Step 1: 

Select the Users tab in the Admin menu. 

Step 2:

Select either the Guardians or Students tab. Either of these accounts have the ability to be flagged.

Step 3:

When an account has been flagged, a red flag icon will be displayed under the Flagged column.

Step 4:

Click on the flag icon to see the following information:

• Which teacher flagged this account
• When this account was flagged
• Teacher-created reason for why this account was flagged

Note: To remove the flag from this account, you can click on the Remove Flag button.
